Case Study

Sanjay has been asked to organise an open event for his employer, with the help of his team. He has agreed to the timescale of 8 weeks. After conducting a team meeting, he plans the work tasks as follows:
  • Charlie is to book the room and arrange catering
  • Maureen will send out the invitations using the company’s client data base, and also contact new companies
  • John will select and book a guest speaker and prepare some materials for display
  • Marketing are to prepare advertising material (the marketing manager is not at the meeting)
When he realises that the marketing manager is on annual leave for the next two weeks, Sanjay decides he will have to prepare the leaflets himself and informs his team leader that he will have to renegotiate the deadline for the department review. Maureen goes off sick so he asks his team leader if Charlie can be taken off his reception duties for the next week so that he can achieve the deadline of sending the invitation letters out by the end of the week.Charlie realises that his priority is to get the invitations sent out but he doesn’t have much time. He decides that the quickest method of telling clients the date would be to email them with the invitation attached. After checking with Sanjay, he opens the company client database but has problems identifying the information he needs. He asks John for help, and he is able to provide the support necessary. When Charlie tries to book the room he finds that all room bookings were planned at the beginning of the year and there is nothing available. He immediately tells Sanjay, who asks him to book a room at an external venue instead.

  2. How did Charlie deal with his problems, and could he have done anything differently?
It is rare that there is just one way to respond to a scenario or situation, so do not consider that the response you have chosen to this scenario will be judged as right or wrong.
